Welcoming clients, visitors, guests & business delegates into the front office in a professional manner, attend to their professional requirements & provide a courteous service. If require refer him/her to the related authority/official in order to portray a positive image of the company. Respond telephone/fax calls, incoming/outgoing mails with required information in a good & courteous voice & manner respectively. Ensure maintenance of visitors registers recording necessary information. Maintaining database of all important phone numbers, e-mail addresses & contact addresses of important persons/organizations.
Management of Stationery & Refreshment items' register, inventory & store. Prepare & process Stationery & Refreshment items' budget/documents as per requirement. Check & Register daily official bills & report accordingly. Maintain proper security & telecommunication system for smooth Front Desk operations. Being responsible for receiving letters, messages, documents & dispatch them to concerned official/authority keeping corresponding records. Circulating instructions of the Management to the employees/guests as & when required. Maintaining Employee Attendance Register on daily basis. Maintaining professional liaison with clients, visitors, guests & business delegates. Providing cash & cheque to vendor(s)/other concerned as & when required. Daily Monitoring & supervision of office cleaning/Service Staffs duty/Overtime/Security & Safety issues. Ensure reception area is well organized & in a presentable condition. Any other job as assigned by the Management.
